Description

Aramark is currently seeking an Administrative Assistant to support the Strategy and Marketing & Insights COE teams located in Philadelphia. The primary responsibility of this position will be to support the Strategy and Marketing & Insights COE teams by performing a wide variety of complex duties within a very fast-paced, dynamic environment. The ability to work independently and with minimal direction will be critical to success in this role, as will an ability to balance and manage multiple priorities happening at the same time. Qualified candidates will demonstrate an ability to build performance-based relationships with others, and exercise a high degree of discretion and judgment when interfacing with key stakeholders throughout the organization.  Specific job duties include, but are not limited to the following:

 

  • Utilization of both initiative and judgment in dealing with various matters, including coordinating and maintaining effective office procedures and efficient work flows; implementing policies and procedures; establishing and maintaining a collaborative working relationship with key stakeholders
  • Acts as the liaison to Corporate Services for office logistics
  • Support the teams with the on-boarding of new team members (i.e. badges, seating and telecom logistics, computer access etc.)
  • Provide calendar management as needed (set meetings, accept meetings, rearrange meetings as well as keep all phone, email, video conferences, etc. contacts current at all times)
  • Support the development, creation and organization of Strategy & Marketing related materials and presentations
  • Coordinates travel arrangements and meeting logistics for the teams as necessary
  • Handle various written communications for, and on behalf, of the Strategy and Marketing & Insights COE teams
  • Support budget management, invoice management and consultant/contractor onboarding and off boarding
  • Perform other administrative duties as required, which may include the support of special project teams

Qualifications

 

Qualifications

  • Bachelors Degree preferred  
  • 5-7 yrs of administrative experience
  • Advanced skills in MS Office, specifically PowerPoint
  • Superior communication and organizational skills
  • Ability to work independently and exercise tact and judgment when handling confidential matters on a daily basis
  • Ability to be resilient, composed, and positive in the face of pressure and conflict  
  • Ability to adapt to change in a rapidly shifting environment
