    Position Summary:
    Catering Sales Coordinator will assist the Director of Sales and Catering Sales Managers during an event when required. Sales Coordinator will work with client directly and manage small to medium size groups.

    He/she is responsible for providing assistance to the Director of Sales and Catering Sales Managers as assigned: answering telephone, complete Banquet Event Orders (BEO), answer account questions, collecting/posting payment for events, ensure catering file completed, complete thank you notes, correspondence. Complete weekly event calendars, any required correspondence to guest and to client, copy, distribute BEOs, attend BEO meetings ensuring BEOs are updated/accurate.   

    Essential Functions:

    • Handle small to medium size catering events and events that need concession services.  This means working directly with clients to plan and execute events as well as upsell. 
    • Greet clients while on-site and introduce client to the Operations team for smooth transition and execution of events.  This may require Sales Coordinator to be present during the event.
    • Communicate with Operations Team and Culinary Team prior to the event to ensure successful execution. 
    • Ensures calendars/schedules are accurate, up to date.
    • Monitors deadlines and follows-up to ensure guarantees & payments are timely
    • Completes and issues required correspondence – thank you notes, notices, memos
    • Perform daily admin tasks such as:  mail distribution, answer main catering line, signage.
    • Maintain and organize sales files based on the corporate standard
    • Support and report to the Director of Sales
    • Support the Sales Manager and Sr. Sales Manager for special projects and admin related tasks
    • Assist the Sales department with marketing and promotions
    • Enter daily consumption in catermate system for invoicing. 
    • Assist the Sales Managers with Accounting responsibilities including logging payment and creating purchase orders.
    • Maintain office supplies inventory (ie file folders, business cards for menu cards, etc.)
    • Participate at BEO (banquet event order) meetings as needed
    • Copy assignment of events in concentric weekly and distribute weekly
    • 8am to 4pm schedule Monday – Friday.  Schedule may fluctuate based on business demand.
    • Must dress in professional business attire
    • Must know and comply with all company policies and procedures regarding safety, security, emergencies and energy.

    Status and Scope:
    This position reports to the Director of Sales.  Working hours may fluctuate based on business demand.


    • Qualifications:
      2-3 years special event planning or coordination experience in a Hotel, Conference Center or Banquet Site.  College degree preferred but not required.
      Equipment Used:
      Radio, Telephone, Computer (must be proficient in Word Processing and Excel), Copier, Fax Machine
      Travel Requirements:  Little or No Travel (>10%)
      Lifting Requirements: 
      LIGHT - Lifting 20 pounds maximum with frequent lifting and/or carrying objects up to 10 pounds
